Interview scheduling
Schedule interviews from the ATS with Google Meet or Calendly links. List and calendar views, without the email tennis.
An ATS with google calendar integration should end the email tennis, not add a fourth calendar you have to check. Recruiter proposes times. Hiring manager is in back-to-backs. Candidate replies 14 hours later. Everyone reschedules.
If you are hiring a customer success manager, the interview is the job sample: can this person handle a messy thread without dropping the ball. Your scheduling process should not be the mess they have to survive to get there.
The problem this solves
Scheduling is where otherwise-functional pipelines stall. The candidate is ready. The hiring manager is not looking at their inbox. You become a human Calendly with worse uptime.
Separate scheduling tools help, until the booking lives in one system and the candidate record lives in another. Then someone interviews the wrong person, or walks in without the assessment score, or double-books Thursday.
Aptimal keeps scheduling on the candidate. You send a calendar link, the meeting lands on the Interviews tab, and the hiring manager briefing can ride along with the stage change so the interviewer is not opening a PDF on their phone in the lobby.
How interview scheduling works in Aptimal
- Connect Google Calendar or Calendly from Integrations. This is a one-time connection, not a per-job ritual.
- Move the candidate to Interview on the Kanban board, or send scheduling from the candidate record.
- The candidate books using the calendar link. Google Meet is supported when you are on Google Calendar.
- Open Interviews for list or calendar view of what is actually on the books.
- After the stage change, the hiring manager can receive the briefing — strengths, concerns, resume score, assessment score, overall Aptimal score, and suggested interview questions — so the calendar hold is not empty.
Aptimal does not run video interviews and does not analyze recordings. If you need AI notetaking on the call, that is a different product. This feature is the booking and the prep.
What this looks like for a customer success manager req
You have three finalists. The hiring manager can do Tuesday and Thursday afternoons, except when they cannot. You stop being the go-between.
Each candidate gets the same scheduling link from Aptimal. They pick a slot that is actually free. You see all three on the Interviews calendar instead of reconstructing the week from sent mail.
Before each call, the manager has a briefing that flags what to probe: a CSM who wrote a strong assessment about a churn save, or a resume that claims Salesforce admin work you want verified live. The meeting still happens in Google Meet. You just stopped spending Wednesday afternoon being a switchboard.
What it replaces
| Old step | What usually happens | What Aptimal replaces it with |
|---|---|---|
| Email three time options | Candidate replies after the slots die | Calendar link against real availability |
| Separate Calendly + ATS | Booking and candidate record diverge | Calendly or Google connected on the candidate |
| Recruiter Slack "you're interviewing in 10" | Interviewer has not read the resume | Briefing on stage change |
| Spreadsheet of interview times | Conflicts with the real calendar | Interviews tab, list and calendar views |
| Video interview suite | You pay for recording you do not use | Use Meet (or your tool). Aptimal schedules. |
If your team already lives in Calendly, keep it. An ATS with Calendly integration is the same idea as Google: the booking should attach to the person in the pipeline.
Which plan it is on
Interview scheduling is on every plan, including Small Businesses at $65/mo. Connecting Google Calendar or Calendly is not gated behind Hiring Pros. See Aptimal pricing for seats and job caps.
Hiring Pros ($129/mo) is the tier where Checkr background checks and AI assessment generation start. Use that when you want those, not because you need a calendar connection.
FAQ

Yes. You connect Google Calendar from Integrations and use calendar links for scheduling. Google Meet links are supported. Aptimal also works with Calendly.
Is this a video interviewing product?
No. Aptimal does not record or analyze video interviews. It schedules the meeting and prepares the interviewer. The call happens in Google Meet or whatever you already use.
Where do interviews show up?
